Office 365 Mail Migration

Posted on Posted in Important News, new ways of working, Technologies

Update 7/12/2018

When accessing Office 365 from today you will be prompted to set up security questions. This is a legitimate request, more details will be communicated via your SMT.

As part of Aberdeen City Council’s journey to embrace Office 365, email accounts will be migrated to the Microsoft cloud. Migrating our mailboxes to the cloud would give staff a more secure, reliable and scalable email system which integrates very well with other Office 365 products.

The migration of Education staff emails is scheduled to start on Monday 22/10/18 and shall be completed by Sunday 28/10/18 with the management staff (i.e. Head Teacher, Depute Heads, Admin staff) mailboxes being migrated during the weekend of 27-28/10/18.

During the mail migration, if you’re not using the outlook client or your email hasn’t setup on your mobile, email can be accessed via https://outlook.aberdeencity.gov.uk/owa and if your account is fully migrated this will automatically redirect to the new web access portal  –https://outlook.office365.com

Post-migration instructions

1. Accessing emails from an Education laptop/desktop

To be able to access your email via the Outlook app, you will need to update your profile. Please follow these instructions for the Outlook 2013 Setup Guide (link).

2, Accessing emails from Corporate mobile devices

If you have a work mobile phone/tablet which is currently configured to receive emails, you will notice that it will prompt you for your login password and begin pushing email through the native email client. Please follow the links below to instructions on how to update your email settings based on your mobile phone type:

  1. Windows Mobile (link)
  2. Apple Devices (link)
  3. Android Devices (link)

If after following these instructions, you are still experiencing issues with receiving emails on your work mobile phone, you can use the new web access portal https://outlook.office365.com to access mail from your mobile. Digital and Technology will be in touch with all corporate mobile users regarding a device refresh within the next couple of weeks as part of a new telephony contract.

However, if this is not convenient and you would like your mobile phone to be fixed to receive emails via the email client, please raise a call in ServiceNow and an IT support analyst will be in touch to re-enable this on your device.

We apologise for any inconvenience the mail migration might cause!!

Kind Regards,

Office 365 Team
